Customers are the starting point for much of the work you manage in BuildFlox. A customer can be an Individual or a Business, with contact information, addresses, projects, files, history, and financial statements in one record.

01 · Customer list

Find and Filter Customers

Open Customers to view customers for the current company.

SearchFind a customer or company by name
FilterChoose Active or Archived, Individual or Business
RefreshLoad the latest customer information

You can also show only customers with active projects or overdue invoices.

Counts depend on access.

Customer cards may show active-project and overdue-invoice counts when that information is available to your account.

02 · Create

Add a Customer

From Customers, select Add Customer. You can also use New Customer from the Dashboard. First choose the customer type.

Individual

  • First name required
  • Last name
  • Email addresses and phone numbers
  • Addresses and internal notes

Business

  • Company name required
  • Email addresses and phone numbers
  • Addresses
  • Internal notes

When finished, select Create Customer.

03 · Contact information

Add Email Addresses and Phone Numbers

Use Add email or Add phone to create more contact entries. Each entry can have a label, and one entry can be marked Primary.

  • The first email or phone number is automatically primary.
  • Choosing a new primary clears the previous primary selection.
  • Duplicate values of the same contact type are not allowed.

The primary email may be used for customer-facing proposal and invoice emails.

04 · Locations

Add Customer Addresses

Customers can have multiple saved addresses in four types:

For each address, enter a label, street address, unit or suite, city, state, and ZIP. One can be marked Primary address.

Reuse saved addresses on projects.

Saved customer addresses are available when you create projects and select project locations.

Address changes are applied when you save the overall customer record.

Select a customer to open Customer Details. This screen brings together:

06 · Projects

Create a Project from a Customer

A customer can have one or more projects. From Customer Details, use the project Create action. BuildFlox opens the new-project workflow with the customer already selected.

07 · Files

Customer Files

Customer Details separates files into Photos and Documents.

Customer-level files

Upload material that belongs to the customer generally rather than to one specific project.

Use the available upload action when your permissions allow it.

08 · Activity

Customer History

Select Customer history from Customer Details to review available changes and activity.

09 · Financials

Customer Account Statement

If your account has access to financial information, Customer Details provides an Account statement action with financial activity associated with that customer.

Financial permission required.

This option may not be available to every user.

10 · Update

Edit a Customer

From Customer Details, select Edit customer. You can update the customer type, company or personal name, email addresses, phone numbers, addresses, and internal notes.

Select Save Customer to apply your changes.

Leaving before you save?

BuildFlox can ask: “Discard unsaved changes?”

11 · Status

Archive or Reactivate a Customer

BuildFlox uses archiving instead of permanently deleting the customer profile. When editing, you may see:

Archiving removes the customer from normal active-customer workflows while preserving the record. It is reversible whenever the customer becomes active again.

13 · Access

Permissions and Access

Customer screens require permission to view customers. Corresponding management permissions control whether you can:

  • Add customers
  • Edit customers
  • Archive or reactivate
  • Manage contact information
  • Upload customer files

If you can view a customer but cannot perform an action, your company role may not include that permission.
