A project is the central record for a customer job. It carries the project number, scope, dates, address, files, and status while connecting the commercial journey from proposal through payment.
Find and Filter Projects
Open Projects to see the projects available in the current company.
Available status filters are:
The estimated completion date has passed and the project is not completed, cancelled, or archived.
Create a Project
From Projects, select New Project. You can also open a customer and use the project Create action; the customer will already be selected.
- Enter a project name and select the customer.
- Choose the project type and optional estimated dates.
- Select one of the customer’s saved addresses when applicable.
- Add the estimated budget and scope of work.
- Select Create.
BuildFlox assigns the next number for the company. You do not need to enter or manage it manually.
Complete the Project Information
Project types include Residential, Commercial, Industrial, Maintenance, Warranty, and Other.
- The project address list comes from addresses saved on the selected customer.
- The estimated budget cannot be negative.
- The estimated completion date cannot be before the estimated start date.
- The scope of work gives your team a shared high-level description of the job.
Use Project Details
Select a project card to open Project Details. The header shows its status, project number, name, address, and the actions available to your role.
The Overview combines the Job Journey, customer details, status timeline, location, and permitted financial information.
Follow the Job Journey
The Job Journey summarizes four connected stages and highlights the current next step.

Depending on progress and permissions, the action may offer to create or continue a proposal, create or open a work order, create or view an invoice, record a payment, or view the project summary.
Approved, invoiced, paid, and outstanding amounts appear only when your account can view project financials.
Reach the Customer or Open the Location
The Overview displays available customer contact information. Select an email address or phone number to open the corresponding action on your device.
A map action is available only when the project has a usable saved address.
Organize Project Files
Open the Files tab and select Upload Project File. Choose a category before the upload is saved.
BuildFlox groups visual files under Photos and other material under Documents. Select a file to open it. If your role permits file management, its menu can also provide a delete action.
Create and Review Project Proposals
Use the create-proposal action in the project header or open the Proposals tab. Start from a template or a blank proposal; eligible accounts may also offer AI proposal generation.

- Send eligible proposals
A proposal that has not been converted can be removed from the project after confirmation. Removing it archives the proposal rather than silently erasing accepted job history.
Move Approved Work into a Work Order
Approved proposals can be converted into work orders. Open the Work Orders tab to see the work-order number, title, and current status for this project.
Opening a work order carries you into scheduling, crew assignment, checklists, evidence, completion, and billing without losing the customer or project context.
Review Project Financials
When your role and plan allow financial management, Project Details can provide:
The project statement presents financial activity for a selected period. The financial summary brings together revenue, collections, expenses, and estimated project profit.
Edit a Project
From Project Details, select the edit action. You can update the project name, customer, type, estimated dates, address, budget, and scope of work, subject to your permissions.
Select Save to apply the changes. The project number and its connected operational history remain intact.
Permissions and Project Visibility
Project screens require project-view access. Separate permissions determine whether you can:
- Create or edit projects
- Create or manage proposals
- Open or manage work orders
- Upload or delete files
- View project financials
- Record a payment
Field workers may see only projects connected to their assigned work. A missing action usually means the role, plan entitlement, project assignment, or record state does not permit it.
