BuildFlox reports summarize the records your team creates while managing customers, projects, proposals, work orders, invoices, payments, refunds, and expenses. Use them to identify exceptions, compare results, and open the underlying record when action is needed.

Financial cards appear only when Financial Reports are enabled and the user can view financials. Work Order Performance remains available with general report access.

02 · Data source

Understand What “Live Data” Means

Reports are built from the current BuildFlox records for the selected company. They are not manually maintained spreadsheets or frozen snapshots.

When a proposal changes status, a work order completes, an invoice is issued, a payment or refund is verified, or an expense becomes Approved, the relevant report reflects that stored state the next time it loads.

Clean records produce useful reports.

Keep statuses, dates, customer and project links, assignments, payments, and expense categories accurate before relying on the analysis.

03 · Report scope

Set the Date Range and Filters

Most analytical reports begin with This Year. Choose a preset or select a custom start and end date.

Selecting a customer narrows the available project list to that customer’s projects. Collapse the filter panel when you need more room; its summary retains the date preset and active-filter count.

04 · Report anatomy

Read Metrics, Charts, and Detail Rows

Analytical reports follow a consistent structure:

  1. Metric cards summarize the most important totals, rates, and exceptions.
  2. Charts show time-based series and useful breakdowns.
  3. A record count shows how many detail rows match the scope.
  4. The sortable table exposes the records behind the summary.

Charts display up to 12 visible categories or periods for readability. Use the detailed table when you need the complete matching record list.

05 · Revenue and collections

Use Financial Overview

Financial Overview connects invoicing with collections and outstanding balances. Its metric cards include:

Compare invoiced and collected value by month, review accounts-receivable aging, and identify top customers by revenue. The detail table shows invoice number, customer, project, status, issue and due dates, total, paid amount, and balance.

When refund activity exists, a separate table shows the refund date, customer, invoice, amount, and status.

06 · Job margin

Compare Projects with Project Profitability

Project Profitability compares revenue and Approved project expenses over the selected period. Each project row shows revenue, expenses, estimated profit, and profit margin.

Select a project row to open its Financial Summary, where you can review contract value, payments received, outstanding amount, total expenses, estimated and collected profit, margin, and expenses by category.

Profit is only as complete as cost entry.

Missing, Submitted, Rejected, Void, or incorrectly allocated expenses do not contribute to the Approved project-expense total.

07 · Cost analysis

Understand Spending with Expense Analysis

Expense Analysis summarizes Approved costs in the selected date range.

Use Expenses by Category to understand what you buy and Vendor Spending to understand where the money goes. Consistent project, vendor, and category selection makes these comparisons meaningful.

Measure Proposal Performance

Proposal Performance shows proposal count, total value, approval rate, average amount, average approval time, and Pending, Rejected, and Expired counts.

Filter by customer, project, status, or proposal template. The detail table includes proposal number, title, customer, project, template, status, issue date, and total amount.

09 · Portfolio health

Monitor Delivery with Project Overview

Project Overview summarizes total, Active, Completed, On Hold, and Overdue projects, plus average duration.

  • Compare projects started and completed over time
  • Review the current status breakdown
  • Filter by customer, project, or project status
  • Inspect proposal, invoiced, and collected totals by project

Use this report to spot aging or overdue work, then select the relevant detail row to open the full project.

10 · Field execution

Track Work Order Performance

Work Order Performance highlights volume, execution status, overdue work, speed, and checklist discipline.

Compare work orders by assignee, status, and project. Filter to a customer, project, status, or assignee. The detail table shows schedule and checklist completion alongside the people assigned to each order.

Review the Customer Business Summary

Customer Business Summary brings customer growth, repeat business, delivery activity, and financial value into one view.

Review customer revenue and payments, business mix, and detail rows for project count, proposal value, invoiced value, payments, refunds, outstanding balance, and last activity.

12 · Investigation

Sort Tables and Open the Source Record

Select a column heading to sort the detail table in ascending or descending order. Paginated tables keep larger result sets manageable.

Selecting a row opens the related invoice, proposal, project, work order, or customer. Use that drill-down to correct a status, date, assignment, amount, or relationship at its source rather than trying to alter the report.

Reports are read-only analytical views. Changes are made on the underlying business record and appear after the report reloads.

13 · Financial meaning

Interpret Revenue, Collections, Refunds, and Expenses

Invoiced

The value issued to customers on eligible invoices; it is not the same as cash received.

Collected

Verified successful payments. Net collected reflects completed refund activity.

Expenses

Approved company or project costs, including each expense’s entered tax amount.

Margin

Estimated project profit compared with revenue, expressed as a percentage.

Always compare reports using the same date range and filters. A strong invoiced total can coexist with low collections or high outstanding balances.

14 · Portfolio reporting

Use the Multi-Company Overview When Available

Eligible Business accounts can review authorized companies together. The overview reports combined and per-company income, expenses, net value, outstanding invoices, and margin for the selected period.

Aggregation does not merge companies.

Each company remains operationally isolated. The overview includes only active companies the signed-in owner is authorized to see with the required reporting permissions.

15 · Access

Report Plans and Permissions

Report visibility is enforced both in the interface and on the server:

  • View Reports is required to open the catalog and analytical reports
  • View Financials is required for financial content
  • The plan must include Financial Reports for Financial Overview, profitability, and expense analysis
  • View Multi-Company Reports and an eligible plan are required for cross-company totals

If a report card is absent, it usually means the current plan, role, or both do not include that report. Switching companies recalculates access and report data for the newly selected company.

16 · Troubleshooting

When Something Does Not Look Right

No report data

Widen the date range, clear filters, and confirm matching records exist in the current company.

Financial report is missing

Check the Financial Reports plan capability plus View Reports and View Financials permissions.

Project margin looks wrong

Review project links, invoice values, Approved expenses, tax, and the selected date range.

Recent change is absent

Confirm the source record saved successfully, then reopen or refresh the report with the intended filters.
